    Greenpeace USA (GPUS) is hiring a Facilities Specialist to oversee daily facilities management of Greenpeace’s office in San Francisco, including the reception area, mail/production room, office equipment, supplies, and facilities. This role effectively manages facilities related vendor contracts, processes related invoicing, maintains inventory control, processes office supply orders, and manages other projects as assigned by the National Facilities Director. This position is also responsible for internal office moves and providing all arrangements for internal and external meetings.


    The Facilities Specialist is a FT, exempt role based in San Francisco, CA reporting to the National Facilities Director based in DC.



    Duties & Responsibilities:

    • Serve as primary liaison for facilities operations of the SF office and satellite offices throughout California.
    • Own all office facilities and services, including the main reception areas, office furniture/equipment and supplies, and develops processes for ordering, tracking and managing office inventory.
    • Monitor office appearance, ensuring that both common and individual workstations are cleanly & orderly.
    • Provide support for senior staff and guests and internal and external meetings, including facilities rentals, equipment, meals & room prep
    • Coordinate off-site storage, including regular deliveries to and retrieval from storage facilities
    • Develop and manage external relationships with vendors, suppliers and property management 
    • Lead orientation for new San Francisco staff on administrative policies and procedures.
    • Ensures ergonomic setup and facilitation of furniture in consult with the People & Culture and IT teams 
    • Assist the Facilities Director in supporting satellite offices and telecommuting staff across the country, including maintaining business licenses
    • Other duties and projects as assigned by the National Facilities Director.


    Minimum requirements include:

    • High School Diploma and five (5) years of experience as a facilities specialist, preferably with a nonprofit.


    Additional qualifications include, but are not limited to:

    • Proven ability to manage multiple tasks and competing priorities
    • Working knowledge of office equipment (e.g., copiers and printers), file sharing systems (network based and cloud based), such as Google apps; and Microsoft suite (especially Word and Excel)
    • Proven ability to work with vendors.
    • Ability to work with people on all levels of the organization.
    • Strong communication, organizational and planning skills.
    • Familiarity with office equipment.
    • Ability to take initiative and work with minimal supervision.
    • Positive attitude and customer service oriented.
    • Commitment to environmental activism
